How Sargo handles your information — clearly, and without the legalese.

Introduction

Sargo is desktop software for running a billiard hall, built by AdvancePH (Gene Phillip Artista). This Privacy Policy explains what information we handle, how we use it, and the choices you have.

We wrote this policy in plain language so any hall operator can understand it — no legal background required. It was developed with consideration for the Philippine Data Privacy Act of 2012 and is broadly aligned with internationally recognized privacy principles.

Scope

This Privacy Policy applies to the Sargo desktop application, the Sargo marketing website, and the licensing, subscription, and support services provided by AdvancePH. Where a third-party platform or provider has its own terms, those terms also apply to your use of that service.

Information We Collect

We collect only the information reasonably necessary to provide, license, support, and improve Sargo:

  • Account information — your name and email address when you create an account or contact us for support.
  • Licensing information — your license key and subscription status, which we use to confirm your software is properly licensed.
  • Device information — basic details about the computer running Sargo (such as a device identifier), used to bind a license to a device and prevent misuse.
  • Optional payment information — collected only if you purchase a plan. Payments are handled by our payment providers; we do not store complete payment card numbers or other sensitive payment credentials ourselves.

How We Use Information

We use the information above for a limited set of purposes:

  • To run the software and keep it working correctly for you.
  • To validate licenses and subscriptions and prevent unauthorized use.
  • To provide customer support and respond to your questions.
  • To process payments when you choose to buy or renew a plan.
  • To send important service messages, such as licensing or account notices.

Information We Do NOT Collect

Some things we simply never touch:

  • No microphone access.
  • No camera access.
  • No location tracking.
  • We do not sell your personal information to anyone.

Local Data Storage

Sargo is offline-first. Your day-to-day business data — tables, session timers, billing, reservations, and customer records — is stored locally on your own computer, not on our servers.

Sargo is designed to operate primarily without a continuous internet connection. Connectivity is only required for specific features such as account authentication, subscription validation, software updates, or future cloud-enabled functionality. When you are not using those features, Sargo keeps running on your own hardware.

Data Retention

Your local operational data stays on your computer until you delete it. You control it entirely, including backups and removal.

Account and licensing information is retained only as long as reasonably necessary — to provide support, manage your license, meet legal obligations, and prevent fraud. When it is no longer needed for these purposes, we remove or anonymize it.

Future Cloud Features

We may add optional cloud features in the future — such as cloud synchronization, multi-branch management, customer reservations, analytics, or POS integration. These are not active today. If you choose to enable them, Sargo would need to securely transmit a limited amount of data to make them work. We will describe any such data handling before those features become available.

Third-Party Services

We may use trusted third-party providers for payment processing, software distribution, cloud hosting, analytics, or customer support as needed. These providers only receive the information required to perform their service, and they are contractually or legally required, where applicable, to protect the information they process on our behalf. If you install Sargo through an app store, that store's own privacy terms also apply to your use of the store.

Website Cookies

This marketing website does not currently set advertising or tracking cookies, and it does not run third-party analytics that profile you. It does keep an anonymous, cookieless tally of total page views (via a third-party counter service) that records no personal data and cannot identify you. If we introduce cookies or profiling analytics in the future, we will update this section to explain what they do and how you can control them.

Data Security

We use reasonable safeguards and industry-standard security practices where applicable to protect the information we handle. Where Sargo communicates over the internet — for example, license validation or future cloud features — that data is transmitted using encrypted connections where applicable.

Because your business data lives on your own computer, keeping that device secure — with a strong password, device encryption, and regular backups — is partly your responsibility. No method of storage or transmission is ever completely secure, so we cannot guarantee absolute security.

Your Rights

You have rights over your personal information, including the right to:

  • Access the personal information we hold about you.
  • Correct information that is inaccurate or out of date.
  • Delete your personal information, subject to the limits below.

To protect your account, we may need to verify your identity before acting on a request. Please note that a deletion request may not immediately remove every record: some information may be retained where reasonably necessary to comply with legal obligations, resolve disputes, prevent fraud, enforce our agreements, or maintain licensing and transaction records.

Business Data Ownership

Your business data is yours. The records you create in Sargo — your tables, sessions, billing, reservations, and customer information — belong to you. We do not claim ownership of it, and we do not use it for our own purposes.

Children's Privacy

Sargo is business software intended for billiard hall operators and their staff. It is not directed toward children under 13 (or the applicable minimum age in your region), and we do not knowingly collect personal information from them. If you believe a child has provided us with personal information, please contact us and we will remove it.

Changes to This Privacy Policy
